Invite or remove people from your Todoist team

Invite people to your Todoist team

Before jumping in, check if you're an admin of the team. Then, learn how to invite people to your Todoist team:

Invite people by email

  1. Log in to your Todoist account on https://todoist.com.
  2. Click your avatar in the top-left.
  3. Select Settings.
  4. Find the team you want to add users to in the sidebar. Click Members under the team name.
  5. Click Invite by email.
  6. Enter the email addresses of the users you’d like to invite and click Send invites.

  1. Tap Browse and open the team project.
  2. Tap the group icon.
  3. Tap Invite via name or email and enter the person's email address.
  4. Select the desired team role.
  5. Tap Done to confirm.

To invite a person through a project:
  1. Tap Browse and select the team.
  2. Tap the project.
  3. Tap the group icon.
  4. Tap Invite via name or email and enter the person's name or email address.
  5. Select the desired team role.
  6. Tap the send icon to confirm.
To invite a person through the team settings:
  1. Tap Browse and select the team.
  2. Tap the add person icon.
  3. Enter the person's email address and tap the plus icon.
  4. Tap Team role and select the desired role.
  5. Tap Send invites. To share a link, tap Share invite link.

Invite people with an invite link

  1. Log in to your Todoist account on https://todoist.com.
  2. Click your avatar in the top-left.
  3. Select Settings.
  4. Find the team you want to add users to in the sidebar. Click Members under the team name.
  5. Make sure Enable invite link is toggled on.
  6. Click Copy link.

You can then send the URL to whomever you want to invite. After they click the link, they’ll have the ability to join your Todoist team.

Remove people from your Todoist team

Make sure you only keep the right people in your Todoist team. First, check if you're an admin. Then, learn how to remove people from the team:

  1. Log in to your Todoist account on https://todoist.com.
  2. Click your avatar in the top-left.
  3. Select Settings.
  4. Find the team you want to remove people from in the sidebar. Click Members under the team name.
  5. Find the person you want to remove and click their current role to the right of their name.
  6. Select Remove from team.

Replace people in your Todoist team

If you want to replace a team member with someone new, remove them from your Todoist team and invite the new person with their Todoist account email address.

Billing changes

If you decide to remove someone from your Todoist team, or if you want to replace an existing team member with someone else, we'll automatically check if there's any remaining time left on their subscription. Then, we'll convert the value to an account balance for your Todoist team. 

This balance will then be used to partially or completely cover your next invoice. None of the remaining time on their subscription will go to waste.

You'll receive an invoice about the change within one month of the removal.

Noteworthy

  • When removing someone from the team, the admin can choose whether to remove them from all shared projects or allow them to continue sharing projects.
  • Tasks or task comments added by team members or guests aren't impacted by the removal of their creator. For example, if you choose to remove a person from all shared projects, all tasks that were assigned to them will become unassigned.
  • When replacing a team member with someone new, you don't need to manually change the previous team member's email address. Todoist accounts aren't designed to interchange between people, since they contain both personal and work-related tasks.
