Why can't I assign a task to multiple people?

We believe in the concept of having a Direct Responsible Individual, which ensures that a single person is always clearly responsible for any given task. This is why we decided not to allow for a single task to be assigned to multiple people at once.

Instead, try these alternatives to assign tasks and work together in shared projects:

Split your task into smaller sub-tasks

When working with multiple people on a big task, split it into sub-tasks and assign each one to your team members. It becomes easy to keep track of who’s responsible and who’s completed their task – giving you a better picture of the overall progress. Here’s how to create sub-tasks:

  1. Hover over an existing task.
  2. Click and hold the grey “handle” that appears to the left of the task.
  3. Drag it from left to right to change the sub-task level.

Turning a new task into a sub-task

  • Click and drag a task from left to right to change its indent level.

Turning an existing task into a sub-task

  • Long press an existing task and drag it from left to right to change its indent level.

Turning a new task into a sub-task

  1. Tap the + (quick add) symbol.
  2. Type in your task name.
  3. Press and hold the arrow handle above the task field.
  4. Move the handle to the left or right to adjust the indent level.
  5. Tap the submit arrow to save the task.

Turning an existing task into a sub-task

  1. Long press on a task.
  2. Drag it to the left or right to change the indent level.
You’ll only be able to create sub-tasks inside a project. It’s not possible in the Today/Next 7 Days views or any filtered views.

Use comments to alert others

As soon as you have assigned the task to one person in a shared project, you can loop in additional people using task comments. Here’s how:

  1. Hover over a task and click on the speech bubble icon that appears to the right of the task name.
  2. Type a comment in the comment field.
  3. In the bottom right, click on Change to select who to notify.
  4. Select the people you want to notify.
  5. Click Add Comment to post your comment.

  2. In the menu that appears at the bottom of your screen, tap on the speech bubble icon.

  4. Tap on the bell icon on the left, select the users you want to notify and tap done when you’re finished.
  5. Tap the send icon to post your comment.

Duplicate tasks

In cases where you need multiple people to be assigned to the same exact task, you can duplicate it and assign the new task to whomever you need to. Here’s how:

  1. Right click on a task.
  2. Select Duplicate.

  2. In the top-right, tap the three dots icon.
  3. Select Duplicate.
