Add or manage multiple tasks in Todoist

Add multiple tasks

Sometimes you want to turn a list from an app or note file into tasks in Todoist. Simply paste that list from your clipboard, and watch as Todoist automatically turns each one into a task.

  1. Copy the list of items that you’d like to turn into tasks.
  2. Open Todoist.
  3. Click Add Task or open Quick Add.
  4. Select a date, time, priority, label, or project for these tasks.
  5. Paste your list in the task name field.

You’ll see a pop-up asking, "Add X tasks?" X is the number of tasks Todoist will create for you. From there, you have three options:

  • Cancel: Stop adding these items as tasks.
  • Add 1 task: Add all the items as a single task.
  • Add X tasks: Add each item as a task.
To avoid formatting issues, press Cmd + Shift + V (macOS) or Ctrl + Shift + V (Windows) when pasting multiple lines of text in Todoist.
  1. Copy the list of items that you’d like to turn into tasks.
  2. Open Todoist.
  3. Tap the Dynamic Add Button at the bottom right.
  4. Select a date, time, priority, label, or project for these tasks.
  5. Paste your list in the task name field.

You’ll see a pop-up asking, "Add X tasks?" X is the number of tasks Todoist will create for you. From there, you have two options:

  • Add X tasks: Add each item as a task.
  • Paste: Add all the items as a single task.

  2. Open Todoist.
  3. Tap the Dynamic Add Button at the bottom right.
  4. Select a date, time, priority, label, or project for these tasks.
  5. Paste your list in the task name field.

You’ll see a pop-up asking "Add X tasks?" X is the number of tasks Todoist will create for you. From there, you have two options:

  • Add X tasks: Add each item as a task.
  • Paste: Add all the items as a single task.
To avoid formatting issues, press and hold the task name field. Then, select Paste as plain text.

Add multiple sub-tasks

If you need to break down large tasks, you can quickly add multiple sub-tasks using the same method:

  1. Copy the list of items you'd like to turn into sub-tasks.
  2. Click the parent task. This opens the task view.
  3. Click Add sub-task.
  4. Select a date, time, priority, or label for these sub-tasks.
  5. Paste your list in the task name field.
  6. Select Add X tasks to confirm. X is the number of tasks Todoist will create for you.
  1. Copy the list of items you'd like to turn into sub-tasks.
  2. Tap the parent task. This opens the task view.
  3. Tap Add sub-task.
  4. Select a date, time, priority, or label for these sub-tasks.
  5. Paste your list in the task name field.
  6. Select Add X tasks to confirm. X is the number of tasks Todoist will create for you.

Manage multiple tasks

First, select tasks in bulk to quickly assign, reschedule, set priorities, move, or batch-edit tasks in less time and effort:

Press Cmd + Shift (macOS) or Ctrl + Shift (Windows), and click the first and last task in the list. Todoist will highlight all the tasks in between the first and last task.

  1. Tap Browse at the bottom-right.
  2. Open a project.
  3. Tap the three dots icon at the top-right.
  4. Tap Select Tasks.
  5. Tap the tasks to select them. Selected tasks are highlighted. If you want to select all tasks in bulk, tap Select All at the top-right.
Press and hold a task to use the iOS context menu. In this menu, tap Select Task to select multiple tasks.
  1. Tap Browse at the bottom-right.
  2. Open a project.
  3. Tap the three dots icon at the top-right.
  4. Tap Select tasks.
  5. Tap the tasks to select them. Selected tasks are highlighted.

Once selected, you can manage multiple tasks, allowing you to cut down the time and effort spent on these repetitive actions. Here’s how to make changes to multiple tasks in Todoist:

After selecting multiple tasks, a black menu appears at the top. Select the action you want to perform:

Action What this does
Date Schedules a date and time to the selected tasks
Move to

Moves the selected tasks to a different project

This option is grayed out if you’re in the Today or Upcoming views.

Labels Adds a label to the selected tasks
Priority Adds a priority to the selected tasks
Assign to Assigns a person to the selected tasks in a shared project
Deadline Adds a deadline to the selected tasks
Complete Completes the selected tasks
Duplicate Duplicates the selected tasks
Open in new window

Opens the selected tasks in new windows

This is available only in the Todoist desktop apps.

Delete Deletes the selected tasks

After selecting multiple tasks, an action menu appears at the bottom. Select the action you want to perform:

Action What this does
Date Opens the scheduler to add a date or time to the selected tasks
Move to Moves the selected tasks to a different project.
Labels Adds a label to the selected tasks
Priority Adds a priority to the selected tasks
Delete X Tasks Deletes the selected tasks. X refers to the number of selected tasks.
Duplicate X Tasks Duplicates the selected tasks. X refers to the number of selected tasks.
Complete X Tasks Completes the selected tasks. X refers to the number of selected tasks.
Deadline Adds a deadline to the selected tasks
Assign X Tasks To... Assigns a person to the selected tasks. X refers to the number of selected tasks.

After selecting multiple tasks, an action menu appears at the bottom. Select the action you want to perform:

Reorder multiple tasks

You can select multiple tasks and reorder them in the task list.

  1. Open a project.
  2. Select multiple tasks. These are highlighted.
  3. Drag these tasks to their new position.
Tasks won't drag or move under other tasks if you're in the Today view, Upcoming view, filters, or labels.
You can only reorder multiple tasks while using the Todoist web app or desktop apps.
