Whether you’re planning a presentation, preparing for an event or creating a website, create a project so all the important details are saved in one central place!

Here's how:

How to create a project

  1. In the left-hand navigation menu, next to Projects, click the + symbol.
  2. In the Add project window, type out the name of your new project.
  3. (Optional) Select a different project color from the drop-down menu.
  4. (Optional) For easy access to the project, click the toggle to add it to your favorites.
  5. Click Add to create the project.
  6. (Optional) You can then drag and drop your project to a new place on your project list, or turn your project into a sub-project.
  1. Drag the bottom app bar up your screen. This will open the menu.
  2. Tap the + symbol to the right of Projects.
  3. Type out the name of your new project.
  4. (Optional) Select a different project color from the drop-down menu.
  5. (Optional) To make your new project a sub-project, tap the Parent field and select the project you want your new project to be nested under.
  6. (Optional) To share your new project with someone else, tap Collaborators and type an email or a user's name, or invite a user from another shared project.
  7. (Optional) For easy access to the project, toggle the Favorite option to add it to your favorites.
  8. When you’re finished, tap the checkmark icon in the top-right to create the project.

  3. To give your project a color, tap the Color field.
  4. (Optional) To share your new project with someone else, tap Shared and add collaborators.
  5. (Optional) To make your new project a sub-project, tap the Parent field and select the project you want your new project to be nested under.
  6. When you’re finished, tap Done in the top right to create the project.
When creating a project, you can’t use  # " ( ) | & ! or , in the project name. The only special characters allowed in project names are . _ and -.

How to use projects

Now that you've created your project, it's time to add and organize your tasks! Below are some tips for how to make the most of a project in Todoist.

Quick add tasks to your project

Load up your new project with every relevant task you can think of. It’s a brainstorm, there are no bad ideas! You can add a task directly to your project by clicking/tapping the Add task or + button in the project.

When quick-adding a new task, you can immediately move it to a project by typing “#” directly into the task field and entering the name of the project.

Set due dates

Some work needs to be done now, other work can wait. To make sure you get things done on time, set each task’s due date.

Set the due date by typing the date into the task name, like “Today”, “Next Thursday” or “March 12”.

Use task priorities

Some tasks are more important than others. Go through your project and set your most important tasks as priority 1. They’ll show up in red so you know what to work on first.

Organize your project using sections

If you want to break your project down into different parts, you can do so by creating sections and adding your tasks to their relevant section.

You can then drag and drop tasks to change the indent and rearrange them as sub-tasks.   

How to edit a project

Need to make some changes to your project? No problem! Simply follow one of our guides below:

Edit a project name

If you're using Todoist on your computer (or in a browser on your mobile device) you can quickly and easily change the name of a project by opening the project and clicking the project title.

Whether you need to correct a typo or you've completely changed the title, here’s how to edit a project name in Todoist:

  1. Hover over the project you want to rename and click on the three dots icon that appears to the right of its name.
  2. Select Edit project from the drop-down menu.
  3. Enter the new name.
  4. Click Save.
  1. Swipe up the bottom app bar to open the menu. 
  2. At the bottom of your project list, tap Manage projects.
  3. Tap the project you want to rename.
  4. Tap the three dots icon in the top-right corner.
  5. Tap Edit project.
  6. Type the new name for the project in the Name field.
  7. Tap the checkmark icon in the top-right to save your changes.
  1. At the top left of your Todoist, tap the menu icon.
  2. Under Projects, find and swipe (from right to left) the name of the project you want to rename.
  3. Tap the pencil icon.
  4. Type the new name for the project in the Name field.
  5. Tap Done in the top-right to save your changes.
You can also change a project's name by using the project's context menu.
  1. Click on the project you want to rename.
  2. Click on the three dots icon in the top-right.
  3. Select Edit project from the drop-down menu.
  4. Type the new name for the project in the Name field.
  5. Click Save.

Change the color of a project

Brighten up and organize your Todoist by color-coding your projects. Here's how:

  1. Hover over the project you want to change and click on the three dots icon that appears to the right of its name.
  2. Select Edit project.
  3. Select the color you want for your project from the Color drop-down menu.
  4. Click Save.
  1. Swipe up the bottom app bar to open the menu. 
  2. At the bottom of your project list, tap Manage projects.
  3. Tap the project you want to change the color of.
  4. Tap the three dots icon in the top-right corner.
  5. Tap Edit project.
  6. Tap the color name and select the color you want for your project.
  7. Tap the checkmark in the top-right corner to save the changes.
  1. Swipe the name of the project you want to change the color of from right to left.
  2. Tap the pencil icon.
  3. Tap the color dot/name and select the color of your choice.
You can also change the color of a project through the project's context menu.

How to delete a project

Get rid of old projects and keep your project list nice and tidy. Here's how:

You won't be able to delete a project if it has been shared. Instead, you'll have the option to Leave the project.
  1. Hover over the project you want to delete and click on the three dots icon that appears to the right.
  2. Select Delete project from the drop-down menu.
  3. In the pop-up window, click Delete to confirm.
    1. Swipe the project you want to delete from right to left.
    2. Tap the trash can icon.
    3. In the pop-up window, tap Delete project to confirm.
You can also delete a project through its context menu.
  1. Swipe up the bottom app bar to open the menu. 
  2. At the bottom of your project list, tap Manage projects.
  3. Tap the project you want to delete.
  4. In the top-right corner, tap the three dots icon.
  5. From the drop-down menu, select Delete.
  6. Confirm that you wish to delete the project.
You may want to archive a project instead. Archiving a project removes it from your project list, but you can always view and restore it later. Just follow all the same steps as above, but select Archive rather than delete.

FAQ

Can I restore a deleted project?

The only way you can recover a deleted project is by importing a backup. If you use Pro plan or Business plan, Todoist automatically backs up your data every day that you login to Todoist. Your backups correspond to the last 21 days and you can store up to 21 backups on your account.

Can I sort my projects?

Yes, you can sort your projects. However, you will have to do so manually by hovering over the project, then drag and drop the project to its desired location.
